Members tap in. You decide who can.

Give regular members a phone credential, arrange a limited pass for a trial, and let a named manager withdraw access when eligibility changes. Start with the gym entrance and the routine your team can maintain.

Studio entrance brief

Tell us how people arrive for training.

Describe the gym entrance, reception coverage and the member groups you want to admit. The assessment establishes the door work and the proposal before installation.

  1. Share the opening routine

Include members, coaches and trial arrivals.

  2. Assess the training entrance

Review its lock, supply and reception arrangements.

  3. Plan the desk handover

Agree who maintains eligibility and access permissions.

Use the person arranging the entrance assessment, not a list of members. Coaches and reception may need to join the later discussion.

Provide a contact for planning the visit. Membership numbers, payment details and personal training records do not belong in this preview.

Choose the setting served by this entrance. If the gym sits inside a larger building, distinguish its own door from the landlord-controlled lobby.

Opening routine and existing hardware (optional)

The studio address or postal code helps confirm the proposed service visit.

Describe the actual door release rather than the membership check-in device. Choose not sure if reception cannot identify the locking hardware.

Count the entrances and restricted rooms you want assessed in this phase. A credential for the gym need not authorize every staff-only room.

An approximate combined user group is enough here. Discuss trial visitors and cleaning visits separately when agreeing temporary permission and operating hours.

In short

What is phone door access for a gym?

For gym owners, studio managers and front-desk leads

Gym access control links a member credential to permission at a particular entrance. SmartphoneKey documents Apple Wallet and Google Wallet keys, its NFC cards and guest permissions with defined limits. Your team issues the credentials and updates the access list in the portal. The installation connects the reader to suitable powered locking hardware; the operating plan explains who may train, who may open up and who handles a failed arrival.

    The coach opens up.

The opening coach needs permission before reception begins. Assign the entrance and the relevant hours, then include credential withdrawal in staff departures. Decide which colleague can help if a changed shift leaves the scheduled opener outside.

  2. Illustrative member carrying training gear toward a glass gym entrance and presenting a phone to its wall reader.

    Members let themselves in.

A returning member presents their own supported Wallet credential at the assessed reader. Explain what to do if access is declined: who can check eligibility, how to reach reception and when a coach should assist rather than lending out a staff key.

  3. Illustrative studio manager reviewing a phone at reception, with the gym entrance visible behind the counter.

    21:15 · Front door · Owner

A manager closes the access record.

Make the membership change an access-management task: an authorized manager withdraws the credential and checks the result. A billing cancellation reaches the door process through your team unless a specific software connection has been verified.

Who gets which key

Four roles to agree before issuing passes.

Use these examples to discuss the credentials you intend to issue. The front desk owns eligibility decisions; visitor limits and coaching responsibilities belong in the same written routine.

Reception and membership routines

Give each arrival a clear owner.

Choose the access tools around the work your team actually does: enrolment, trial visits, staffing changes and reviewing a reported entry.

  • Regular training

Member entry without a shared staff key

A supported Wallet credential lets an approved member present their phone at the gym reader. Keep enrolment and credential issuance together in the desk procedure so a new member knows when access begins and whom to contact for help.

  • Welcome sessions

A trial pass with a defined purpose

Set the permitted window and allowed uses around the agreed visit. Explain where the trial visitor should meet a coach. Opening the entrance gives access to the premises; the welcome, induction and permission to train remain separate decisions.

  • Alternative credentials

Include the card option at enrolment

Ask whether a member will use a supported phone or a SmartphoneKey NFC card. Record card issue and replacement responsibility. An existing card from a different gym system needs its compatibility established before anyone promises it will work here.

  • Staff changes

Make withdrawal part of the handover

Name the manager who updates the portal when a coach leaves, a contractor finishes or member eligibility changes. Document who covers that task during absence. Automatic updates from payments or class reservations are unconfirmed.

  • Reception duties

Give administrators an appropriate site role

SmartphoneKey describes local administrators for individual sites. Agree who can issue credentials at this gym and how responsibility transfers between shifts. Include a practical demonstration in training rather than relying on the owner to make every routine change.

  • Reviewing an incident

Read door events alongside the operating record

Use recorded access interactions to investigate a reported arrival. Keep the class register and staffing record alongside that evidence: a successful credential event alone cannot establish which session someone joined or how long they remained.

The record

Review a reported arrival with the right records.

The example below illustrates the kinds of access events a gym might investigate. Use the actual activity record to review the door interaction and the separate administrator audit trail to investigate a credential change. Neither record replaces the class register, a coach report or the membership decision that authorized access.

Walk the member arrival route

Assess the opening before changing the opening routine.

A studio in a shared building and a gym with its own street entrance can need different permissions and hardware. Describe the specific route people use to reach training.

Plan view of an entrance, seen from above A wall with a door opening. The door swings inward. The reader sits on the outside wall next to the door, an electric strike sits in the frame, an exit button is inside, and a power supply is inside, joined by a cable. 1. Identify the actual training entrance

Mark the public door, any staff entrance and the route to the studio. Establish who owns each opening, especially when the gym occupies part of a shared building. The proposed reader should control only the doors in the agreed scope.

  2. Assess the latch and powered release

Record the hardware that holds the gym door closed. The reader needs a suitable electric locking arrangement; a regular mechanical key does not prove that the entrance is already ready for phone credentials.

  3. Find the electrical supply and cable path

Check how the lock and reader can receive appropriate low-voltage power. Discuss the installation route around reception, glazing and finished walls so the proposal includes the physical work as well as the visible reader.

  4. Review occupied and unstaffed periods

Explain when reception is present, how members reach assistance and how people leave. The site assessment must consider the actual exit arrangement. An access credential does not supervise training or prevent a second person following someone through.

  5. Confirm the entrance connection

Check the proposed Wi-Fi connection at the reader position or discuss the documented LTE model with its SIM requirements. Decide who is responsible for that connection after handover and what fallback the particular installation supports.

  6. Agree a manageable handover

Have the responsible manager demonstrate issuing a member credential, setting up a limited visit and withdrawing access. Include continuing package costs and administration responsibilities in the proposal before the gym accepts the work.

Choose a responsible person for denied arrivals, cancelled trials and changed coaching shifts. Agree that operating routine alongside the door installation.

Make the operating decision

A credential plan your reception team can maintain.

Useful starting conditions

  • Membership changes reach a named administrator who can maintain the gym access list.
  • Coaches, trial guests and regular members have clearly defined reasons to use the entrance.
  • The owner can approve the work or involve the landlord responsible for the proposed opening.

Resolve these requirements first

  • A required connection to billing or class-booking software needs separate verification before it enters the plan.
  • An unstaffed training model needs its own assistance and supervision arrangements alongside credential control.

Before introducing member credentials

Decisions for the owner and reception team.

Use these answers to prepare a workable daily routine and an entrance assessment.

Who updates a key after a membership freeze?

Put that responsibility in the freeze procedure. An authorized administrator must apply the intended access change in SmartphoneKey. The supplied evidence does not establish automatic synchronization with your gym billing platform, so someone must carry the decision from the membership record to the access list.

How should a first-time visitor find their coach?

Give the visitor the arrival location and the name or role of the person meeting them. A limited guest credential can support that visit, but it does not explain the studio layout or replace an induction. Agree the arrival instructions alongside the permission window.

Can an NFC card serve a member whose phone is unavailable?

Include product-specific NFC cards in your enrolment and replacement plan. The card provides another credential for the assessed reader arrangement. It does not make the powered lock independent of its electrical supply or guarantee entry during every outage.

What should we plan for a flat phone or loss of power?

Discuss a member assistance route, any approved alternative credential and the actual lock behaviour at assessment. The reader and electric lock require an appropriate power arrangement. Make sure coaches understand the specific fallback and how occupants leave; do not promise that a flat phone will still unlock the entrance.

Can the door schedule follow our changing class timetable?

SmartphoneKey documents weekly lock schedules. Have the responsible manager maintain the agreed schedule and check changes such as holidays or a cancelled early class. An automatic connection to a class-booking calendar is not confirmed by the product materials.

Will members need a different app just to open the gym?

The documented everyday phone-entry approach uses a key in Apple Wallet or Google Wallet. Confirm the supported device and credential arrangement during setup, and explain issuance before the member arrives. Offer the assessed NFC-card route where appropriate.

How long will work interrupt reception?

The entrance condition determines the work: retaining suitable powered hardware differs from adding a lock, supply and cable route. Ask for the installation scope, planned interruption and any temporary entry arrangement in the proposal. This page gives no fixed completion time.

What should a gym owner bring to the first assessment?

Bring the entrance details, current locking arrangement, ordinary opening hours and the person authorized to approve changes. Include how trial guests, cleaners and departing staff are handled. For leased studios, establish the landlord or building-manager approval needed for the proposed door work.

Next step

Plan entry around the way your gym runs.

Bring the opening routine and the person responsible for member access. Review the entrance, electrical requirements and installation scope before agreeing the cost.

Request a door check

Compare the installed studio scope

Request an opening schedule that names the member entrance, staff-only areas and any landlord-controlled part of the route. At each opening, show the retained release, proposed reader, supply and cable work. Ask the handover to cover a coach's first arrival, a limited trial and an instruction to withdraw membership access. Name the reception or management role maintaining those decisions. Keep connection responsibility and continuing package charges in the comparison. If software synchronization is essential, identify the exact membership or booking platform and required behaviour as an unverified purchase condition until confirmed.

For a Toronto or GTA studio, bring the actual class and cleaning timetable to the assessment discussion. Explain when reception is staffed and when the first authorized coach normally arrives. The installer should scope any interruption around the proposed work; neither an overnight conversion nor uninterrupted member access is promised here. Include the property contact if shared entrances or service areas need their approval.
